TOWN MILLS ORGANISATION (TMO)

Our organisation is small and established for not-for-profit making purposes. As a voluntary organisation we are exempt from registration with the ICO. However, we follow their recommendations concerning data and privacy for the benefit of our supporters.

Volunteers are bound by the same privacy requirements as TMO officials and members. Any data held by the TMO relating to a volunteer is held in accordance with the Data Protection Act 2018 – 2021 update and or subsequent UK legislation.

The type of personal information we collect.

We currently collect and process the following information:

• Personal identifiers, contacts and characteristics (for example, name and contact details only)

How we get the personal information and why we have it.

Most of the personal information we process is provided to us directly by you for one of the following reasons:

• To book visits / tours of the Town Mills Watermill site.

• To arrange insurance for our work day volunteers & living history re-enactors.

We also receive personal information indirectly, from the following sources in the following scenarios:

• Data sent in emails to our email address above.

We use the information that you have given us in order to compile lists of persons who may be interested in watermill industrial heritage and might be interested in special visits and discounted offers for visits and tours of Town Mills or associated events to promote the site.

We do not share this information / data, with anybody else.

Under the UK Data Protection Act 2018 – 2021 update, the lawful bases we rely on for processing this information and follow for your benefit are:

(a) Your consent. You are able to remove your consent at any time.

(e) We need it to perform a public task.

How we store your personal information

Your information is securely stored by the Town Mills Organisation in the UK at TA4 1LQ. We may keep names and addresses of visitors for the minimum time possible but no longer than 12 months. We will then dispose of your information by deletion of that data from our computers.

Your data protection rights

Under data protection law, you have rights which we follow for your benefit:-

Your right of access, you have the right to ask us for copies of your personal information that we may hold.

You have the right to ask us to rectify personal information you think is inaccurate.

You also have the right to ask us to complete information you think is incomplete.

You have the right to ask us to erase your personal information in certain circumstances.

You have the right to ask us to restrict the processing of your personal information in certain circumstances.

You have the right to object to the processing of your personal information in certain circumstances. You have the right to ask that we transfer the personal information you gave us to another organisation, or back to you, in certain circumstances.

You are not required to pay any charge for exercising your rights.
